OVERVIEW AND ROLE SCOPE OF TEAM AND/OR TASKS
The Assistant
Director of Clinical Education(ADCE), Master of Physician Assistant Studies will provide support and assistance in the
development and implementation of programmatic systems for clinical site
coordination and admissions. Reporting to the Director of Clinical Education
(DCE) , the Assistant Director will lead in establishing the administrative
process for clinical site correspondence, acquisition, and maintenance and
coordinate the program admissions process.

CAPACITY REQUIREMENTS
Assist DCE in the scheduling of PA
student clinical rotations.

Schedule and confirm clinical rotations with clinical sites/preceptors.

Meet with students to assess clinical capabilities, goals, needs, or concerns.
- Communicate recruitment updates/needs to DCE and Graduate Clinical Coordinator.
Assist DCE in onboarding of PA
student clinical rotations.
-
Verify clinical onboarding requirements and abide by onboarding protocols/deadlines from clinical sites.
-
Document clinical site requirements in EXXAT.
- Communicate onboarding expectations and deadlines to students.
- Verify student documents and send student onboarding packets to clinical sites by established deadlines.
- Conduct scheduling and onboarding using My Clinical Exchange and EXXAT.
Serve as primary preceptor and
clinical education site recruiter.

Develop and implement a recruitment strategy to attract preceptors and clinical education sites.
-
Establish and maintain relationships with providers, healthcare facilities, clinics, and other relevant organizations to secure clinical placements.

Conduct individual reach outs to preceptors to secure clinical placements as needed.
-
Visit clinical sites for recruitment efforts and to ensure clinical rotations are meeting Program and Accreditation standards.
- Serve as liaison between Clinical Team and CMU Marketing and Public Affairs offices
-
Assist in the development of policies and procedures related to preceptor recruitment and clinical education site management.

Attend networking events (conferences, open houses, local/state/national organizations) as requested.
- Coordinate the purchase of recruitment supplies and materials for the Clinical Team.

Conduct continuous analysis of recruitment strategies and methods for quality improvement planning.
- Manage alumni relations and the alumni directory.
-
Assist in the maintenance of clinical contacts (site/personnel profiles) and credentialing documents in EXXAT database.
-
Assist with planning and delivery of preceptor training, orientation, and recognition events.
- Develop educational materials for preceptors to enhance teaching.
-
Provide interventions and individual support or feedback to preceptors as requested.
Student Support and Engagement:
-
Advise students regarding clinical scheduling and placement preferences.
-
Schedule and conduct student clinical site visits to assess progress toward meeting course requirements.
- Provide individualized support to students experiencing scheduling conflicts, personal hardships, or other barriers to clinical placement.

Maintain documentation of student progress, concerns, and interventions related to clinical performance.
-
Attend and support faculty with the planning of curricular events (student applicant interviews, student training or assessments, preceptor appreciation events, IPE events, CME, etc.
-
Participate in Clinical Year Seminar sessions and planning as requested. Assist DCE in orientation of students on clinical learning systems (EXXAT, My Clinical Exchange) clinical policies, professionalism expectations, and individual site onboarding processes.
Other duties include but are not limited to:

Solicit and communicate preceptor
concerns or questions to DCE in a timely manner.
- Annually research CDC
recommendations on vaccinations for healthcare professionals and communicate
needed changes to DCE for policy development.
- Assist DCE in strategic planning
meetings regarding logistical implementation of clinicals for students.
- Develop data collection tools for
program analysis and develop evaluation procedures for Clinical Team.
- Manage payment of Preceptors and
Clinical Adjunct Faculty benefits.
ESSENTIAL EXPERIENCE FOR RIGHT FIT

Bachelor's degree from an accredited college or university.
-
At least two years of relevant experience in higher education or healthcare administration.
-
Detail oriented with strong organizational skills.
-
Strong verbal and written communication skills.
-
Excellent computer skills including familiarity with MS Office and learning management software.

Ability to work effectively as a member of a team and with students
-
Earned (or in process of completing) Master's degree in health care administration, business, social work, counseling, or other healthcare related field is preferred.
